POS settings

Settings › POS opens the Point of Sale settings. Its tabs are Catalog, Categories, Offers, Transactions and Sales Analysis. What you set here is what the Point of Sale sells.

Create your categories first: every product belongs to one.

  1. Open Categories and fill in New category: the Name (for example Souvenirs, Drinks).

  2. Choose the Tax band: the tax that applies to products of this category. The Rate today column shows the rate. Tax rates themselves are set in Taxes, fees & deposits.

  3. Choose the Till tab: where the products of this category appear on the till.

  4. Set the Order, tick Offered on new products if it should be proposed for new products, and click Create.

  1. Open Catalog (page Item Catalog Management) and click Add Product.

  2. Under Product Information, enter the Product Name, and optionally the Brand, Model, SKU and a Product Image (square, 2 MB max).

  3. Tick Track Stock to deduct stock automatically on each sale (untick it for services), and set a Min Stock Alert.

  4. Under Pricing, enter the Purchase Price (your cost), the Sale Price (tax included) and, optionally, a Staff Price. Keep Available for Sale ticked.

  5. For sizes or colours, click Add Variant and give each variant its name and, if different, its own price and stock.

  6. Click Save Product.

The catalog shows Total Products, Active Products, Low Stock and Out of Stock, and can be filtered by category and stock status.

Click Adjust Stock on a product and choose What happened?:

  • Goods arrived — a delivery: enter the Unit cost, the date, the supplier and the invoice number. It counts as a purchase.
  • Correct up / Correct down — a correction (return, damaged, lost, expired…): choose a reason.

Enter the Quantity, check the New Stock and click Update Stock.

An offer changes the price when the guest buys several products.

  1. Open Offers and fill in New offer: a Name.

  2. Choose the Offer type:

    • Price by quantity — for example 3 for one price, 5 for another. Enter each Quantity and Total price (and a Staff price if different). The guest always pays the cheapest combination.
    • Buy X, get Y free — the cheapest item of each group is free.
  3. Tick the Products in this offer. Products of the same offer combine: one of each of three products counts as 3.

  4. Optionally set From and Until dates, keep Active ticked and click Create offer.

Deleting an offer does not change past sales.

Transactions (page Shop Transactions) lists every POS sale. Filter by status (Ongoing, Completed, Overdue, Cancelled), payment (Paid, Partial, Pending, Charged to Room) and dates. Click View to see a transaction.

To undo a sale, click Cancel & Refund, choose a Reason, check the Refund method (pre-filled with the original payment method) and confirm. The transaction is cancelled, the stock is restored and a credit note is created. This cannot be undone.

Sales Analysis shows, for a period (From / To, or This Month), the Items Sold, the Total Revenue, the number of products sold and the sales By Category, then each product with its quantity sold and revenue.
