Trip Automation
- Admin only
Trip Automation lets you describe a change you often make to your departures — for example “turn on a last-minute deal for trips leaving within 14 days that are less than half full” — and apply it to every matching trip at once, instead of opening each trip. Only admins can open this screen.
The top of the page counts your Total Trips, Published trips, Future Trips and trips with a Last Minute Active.
Start from a ready-made rule
Section titled “Start from a ready-made rule”Under Quick Setup - Common Rules, click Use This Template on one of the examples to fill in the rule form, then adjust it and save:
- Last Minute Deal (14 days, <50% occ): a 15% last-minute discount 14 days before departure for trips less than half full.
- Mark Full at 90%: status Full once a trip reaches 90% occupancy.
- Auto Complete After Trip: mark trips as completed 1 day after departure.
- Release Expired Holds: release hold bookings that have expired.
Create a rule
Section titled “Create a rule”-
Click New Rule.
-
Rule Configuration: a Rule Name, a Description, Active, and a Priority (lower runs first).
-
Trigger Conditions — which trips the rule picks:
- Trigger Type: Days before departure (trips leaving within the next N days), Days after departure, Occupancy reached, Low occupancy (upcoming trips), After departure date passed, or Last Minute (days + low occupancy).
- Days and/or Max Occupancy %, depending on the trigger.
- Apply to trips with status: Draft, Published, Hidden, Full. Leave empty for all statuses.
-
Action — what happens to those trips: Change trip status (choose the New Status), Enable Last Minute Deal (with its Discount %), Disable Last Minute Deal, Release expired holds, Mark trip as completed or Auto-publish draft trips.
-
Click Create Rule.
Check, then run
Section titled “Check, then run”In the rules table:
- Test shows how many trips the rule would pick right now, and the first few, without changing anything.
- Run Now applies the rule to every matching trip, after confirmation.
- Run All Rules (top of the page) runs every active rule, in priority order. Run Selected runs the rules you ticked.
- Edit, and Disable / Enable a rule.
Active rules also run by themselves once a day (05:30 UTC), in priority order. Run Now is for when you do not want to wait.
The table shows each rule’s trigger, action, number of Executions and Last Run.
