When you sell a dive course with an online theory part (for example PADI eLearning), the guest has to receive an access code and finish the theory before the trip. The E-Learning Tracker lists every such course, trip by trip, with its status, so nobody arrives on board without their theory done.

The tracker is part of the E-Learning module, on by default. It can be switched off in Optional modules.

Make a course appear in the tracker

Section titled “Make a course appear in the tracker”

  1. Open the course in Extras. Its Category must be Diving Course.

  2. Switch on Requires E-Learning.

  3. Fill in the E-Learning Provider (e.g. PADI eLearning), the Course Code, and Trigger Days Before Trip: how many days before departure the theory must be finished (30 by default).

  4. Save.

From then on, each time this course is added to a booking, a line appears in the tracker with the status Pending and a due date set that many days before departure.

Follow the courses

Section titled “Follow the courses”

The cards at the top count the courses Pending, In Progress, Overdue and Completed.

The table is grouped by trip. Each line shows the departure and booking number (click to open the booking), the Student and their email, the Course, the Provider, the Status, the Student ID / Code, when it was Sent and when it is Due.

Filter by Trip period (Upcoming + today by default), Trip, Status or Provider.

Send the access code

Section titled “Send the access code”

  1. Create the student’s access in your provider’s portal and copy the code.

  2. In the tracker, open the line’s action menu and click Send.

  3. Check the Email, paste the Student ID / access code, and add an Extra note if needed.

  4. Confirm. The guest receives an email with the course, the provider, the code and the trip. The status becomes In Progress.

To send to several guests at once, select their lines and use Send to selected. It uses the code already stored on each line.

Remind and complete

Section titled “Remind and complete”
  • Reminder (or Send reminder on a selection) emails the guest again, with an optional note.
  • Complete (or Mark complete on a selection) marks the course as finished, once the provider confirms it.

Export CSV downloads every course with its trip, booking, student, status, code and dates.
