New booking
New booking opens the Quick Booking page: the form your team uses to book guests directly, without going through the website. It is in the top bar of every page, next to the search field.
Create a booking
Section titled “Create a booking”-
Click New booking in the top bar.
-
In Select Trip, choose the Trip. The list shows every upcoming departure that is Published or Hidden, with its dates, length, itinerary, boat and how many spots are left. Hidden trips are marked [not public]: you can book them here even though they are not on your website.
-
Optional: open Agency Booking and choose the Agency if you are booking on behalf of a travel agency. Leave it on Direct booking (no agency) otherwise.
-
Each cabin type of the boat is shown as a card, with its price per person for the whole trip and the number of cabins left. On a cabin card, click the number of passengers (1 Passenger, 2 Passengers…). Repeat for every cabin you need.
-
For each guest, choose Existing to pick a customer already in DiveHQ, or New to enter a first name, last name, email, phone and nationality. The first guest becomes the main contact of the booking.
-
Optional: click Add Extras to add optional services, equipment or courses. A tab per guest (and one for the whole booking) lets you choose who each extra is for.
-
Check the Total Guests and Total Amount at the bottom. Mandatory fees are listed under the total: those paid with the booking are marked (incl. …), those paid during the trip are marked paid on board.
-
Click Create Booking. A message confirms the booking number, with a View Booking button.
To change a cabin, click Change on its card; to remove a guest, use the cross next to them.
What happens after you click Create Booking
Section titled “What happens after you click Create Booking”- Direct booking: the booking is created as Confirmed and its invoice is generated. Payments are then recorded on the booking — see Bookings. The guests receive their invitation to fill in their diver profile.
- Agency booking: the booking is created as Pending with a 48-hour hold, for the agency to confirm. No invoice and no payment link are created; the agency handles payment.
Book the whole boat (full charter)
Section titled “Book the whole boat (full charter)”When every cabin of the trip is still free, a Full Charter card appears above the cabins. Click it to select all cabins at once. If the trip has a charter price (see Trips, tab Promotions), it shows as fixed price.
Hold cabins without booking them
Section titled “Hold cabins without booking them”Each cabin card has a Cabin Lock area:
- Lock holds one cabin. You can type a Client name so your team knows who it is for.
- All (…) holds every free cabin of that type.
- Held cabins are listed on the card. Release one with the cross, or all of them with Release all … locked cabins.
A held cabin can no longer be booked by anyone else. The hold stays until you release it.
Close a trip to online bookings
Section titled “Close a trip to online bookings”Lock Trip, at the top of the trip summary, stops all public bookings on this departure — for example while you finish a large booking by phone. The trip shows Public bookings disabled until you click Unlock Trip. You can still book it yourself from this page.
Special prices
Section titled “Special prices”Tick Manual Price Override to replace the cabin price with your own amount (for example a friend rate or a group discount):
- Cabin Price Override: the new cabin price. Mandatory fees and extras are still added separately.
- Override Reason (required): Friend / family rate, Group discount, Compensation / goodwill, Special promo / partner deal, Returning customer rate or Other (see notes).
- Notes: free text, such as who approved it.
The override is ignored on agency bookings.
