Park Fee Tracker

Some destinations charge each guest a mandatory fee that is paid separately from the booking, for example a marine park entrance fee paid on board or at the park office. The Park Fee Tracker lists every guest who owes such a fee, trip by trip, so the crew can see who has paid, keep each guest’s ticket, and print the list for the park office.

The menu entry only appears once at least one departure needs follow-up. There are three ways to switch it on:

  • For every departure: in System Settings, tab General Settings, section Operational Features, switch on Enable Park Fee Tracker for all trips.
  • For one departure: on the trip, switch on Enable Park Fee Tracker (see Trips).
  • Through the fee itself: a trip that carries an active mandatory extra with the finance category park fee is tracked automatically (see Extras).

The cards at the top count the Total Passengers, Paid, Unpaid and QR Uploaded. A warning tells you how many guests have not paid yet.

The table is grouped by trip, nearest departure first. Each row shows the guest, their email, passport number, country and booking number.

  1. Use the Trip filter to show one departure. Upcoming trips are marked with a green dot, past trips with a black dot.

  2. When a guest pays, click the red cross in the Paid column. It turns into a green tick and records the date and time (column Paid At, hidden by default). Click again to mark the guest as unpaid.

  3. To store the guest’s ticket (for example the QR code or a screenshot of the receipt issued by the park), click the upload icon in the QR Code column, choose the image (5 MB maximum) and confirm.

Once a ticket is stored, View QR opens it in a new tab and Delete QR removes it permanently.

  • Trip period: Upcoming + today (default) or Past trips only.
  • Payment Status: Paid or Unpaid.
  • Missing QR Code: guests with no ticket stored yet.
  1. Click Park fee sheet (PDF).

  2. Choose the Departure. Only departures with guests who owe the fee are listed.

  3. Confirm. The PDF downloads with one line per guest (name, nationality, passport, booking, fee, and a column for the date paid or a signature).

The same sheet is available from the Trip Manifest with Park fees (PDF).

Export CSV downloads every tracked guest with the trip, booking number, whether a ticket is stored, whether the fee is paid and when.
