System Settings

  • Admin only

System Settings (menu General Settings) holds everything that applies to your whole operation. Only admins can open it. Change what you need in any tab, then click Save Settings at the bottom of the page: one save covers every tab.

The first steps are described in 1. System settings and 6. Policies & payments. This page goes through each tab.

  • Company Information: Company Logo, Company Name, Legal Name (if different), Company Email, phone (Country Code, Phone Number), Company Website, Tax Number / VAT ID, Company Address, Business Registration Number, Country of Registration, Certification / Credentials and Cancellation & Payment Policy. They appear on invoices and in customer emails.
  • The Before You Board texts of your public trip pages: Meeting Point, Boarding Time and What Boarding Includes. A field left blank hides its line.
  • Region & Language: Timezone, Country, Admin Panel Language and Widget Default Language.
  • Unit & Currency: the Currency shown to guests, and the Distance Unit, Weight Unit and Temperature Unit.
  • Operational Features: Enable Park Fee Tracker for all trips, only if every departure needs park-fee follow-up (see Park Fee Tracker).

One switch per optional module. A module switched off disappears from the menu and its pages and public addresses stop answering; nothing is deleted. Every switch is described in Optional modules.

  • Email & WhatsApp Configuration links to the screens where you connect your mailbox and your WhatsApp provider: see Email & WhatsApp Templates.
  • Notification Management: Payment Reminders switches the automatic reminders of payment-schedule due dates on or off.
  • Internal Team Notifications: switch on Send internal email on every new booking and enter the Internal recipient(s), separated by commas. Your team then receives an email as soon as a booking is created, from any source. The message uses the email template Internal: New booking notification.

Messages to guests are set up in Automation Rules.

  • Dashboard Widgets: show or hide the Bar Stock Overview widget, Pending POS Payments widget and E-Learning Tracking widget of the dashboard.
  • POS Payment Methods: the methods offered on the Bar POS, each with a Key (Internal), a Display Name, a colour and Active.
  • Booking Payment Methods: the methods you record booking payments with (for example online gateway, bank transfer, cash, card on site, card on board). For each: Key (Internal), Display Name, Location (Online (Gateway), On-Site (Office), On-Board (Trip)), Processing Fee (a percentage added to the amount), Money arrives in and Active.
  • Exchange Rates: the Exchange Rate Source (Manual Entry (No auto-update), ExchangeRate-API, Frankfurter, European Central Bank (ECB)) and your Default Exchange Rates (From, To, Rate) for payments in another currency.
  • Agency Payment Details: the bank account, PayPal, Wise, Stripe or crypto details and Payment Instructions that travel agencies see when they pay you (see Agency Hub).
  • PB1 Local Tax (Indonesia): for operators in Indonesia only — Enable PB1 Tax Report and its rates.

Under Online payment gateway, choose the Gateway used online — Xendit or Stripe — then switch it on and enter its keys:

  • Xendit: Xendit Secret API Key and, optionally, Webhook Verification Token.
  • Stripe: Publishable Key, Secret Key, Webhook Signing Secret, and create in Stripe the webhook shown under Webhook to create in Stripe. Test Mode is for trying with test cards; switch it off to take real payments.

The chosen gateway is used for the online checkout and for every payment link.

  • Invoice Template Selection: the design of your invoices, with a preview.
  • Logo & Branding: Logo Source (your company logo or a Custom Invoice Logo), Logo Position, Company Name (on Invoice) and Tagline / Slogan.
  • Invoice Colors: Use Custom Colors with a primary, secondary and accent colour.
  • Currency Display: Show Local Currency Equivalent (with the Local Currency and Exchange Rate, or Auto-update rate), Show Processing Fees Breakdown, Show Received Currency Details.
  • Payment Information: your Bank Accounts and Additional Payment Instructions printed on invoices.
  • Terms & Conditions: Show QR Code for Terms & Conditions with its URL, Short Terms (shown on invoice) and an Invoice Footer Note.
  • Invoice Numbering: Invoice Prefix, Number Format (YYYY-0001, YYYYMM-001 or 000001) and Next Invoice Number.
  • Email PDF Attachment Quality: the PDF compression preset of PDFs attached to emails, from Low — 72 DPI to Max — 300 DPI + CMYK (Medium — 150 DPI is recommended), or No compression.
  • Booking Payment Policy: the Initial Deposit, when it is due (Deposit Due: At time of booking, Before option expiry date, Days before departure), the Free Cancellation Window, and Additional Payment Conditions for later instalments (percentage, due type, days before).
  • Cancellation Policy: Cancellation Conditions, each with a Charge and when it applies (If Cancelled, Days Before Departure).
  • Terms & Conditions: your full terms (Terms & Conditions (English)), a Terms & Conditions URL, and Show QR Code on Invoice.

Switch on Enable Automatic Discounts, then each discount you want:

  • Early Bird Discount: a Discount Percentage for bookings made at least so many Days Before Trip.
  • Group Discount: a Discount Percentage from a Minimum Passengers.
  • Last Minute Discount: a Discount Percentage within so many Days Before Trip, with a Minimum Occupancy Required.
  • Full Charter Discount: a Discount Percentage when the whole boat is booked.

Discount Stacking Rules decide what happens when several apply (When Multiple Discounts Apply: Apply Best Discount Only, Stack All Discounts (Additive), Stack with Maximum Cap with a Maximum Total Discount), and Allow Promo Code with Auto Discounts lets a promo code combine with them.

  • Google Reviews Widget: switch on Enable Google Reviews Widget, paste the Widget Embed Code from a reviews widget provider, and choose the Widget Position on your public trip pages.
  • Google Analytics: Enable Google Analytics with your Google Analytics Measurement ID (G-…) and, to record purchases server-side, the Measurement Protocol API secret.
  • Google Ads: Enable Google Ads with your Google Ads Conversion ID (AW-…) and Booking conversion label.

Partner feeds (ScubaDates, LiveaboardHub, Google Merchant) are set up in Feeds & Integrations.

This tab prepares features that are not active yet (Birthday Emails, Loyalty Program). Nothing set here is sent to your guests for now.

Dashboard Theme: the Primary Color of your back-office, with a preview.
