Costs & P&L

  • Optional module: Costs & P&L

Costs & P&L tells you what each departure really earns once its costs are taken out. You record two kinds of costs, and DiveHQ puts them next to the revenue of each trip:

  • Operational Costs: what a trip spends — fuel, diesel, food, water, ice, harbour and dock fees, transport, maintenance and repairs, equipment, extra crew…
  • Fixed Costs: what the business pays whatever the trips — insurance, dock, mooring, internet, licences, software, bank fees, admin salaries, marketing, accounting…

Crew costs come from Crew and Crew on Trips.

The screens belong to the Costs & P&L module, on by default (see Optional modules), and are open to staff with access to reports.

  1. Click Add cost (or Add first cost).

  2. Choose the Trip. Leave it empty for a general boat cost (spare parts, off-season repair): it is kept, but not counted in any trip’s profit.

  3. Choose the Category, the date Incurred on (today by default) and a description.

  4. Enter the quantity, unit and unit price. The total fills itself; type another total to override it.

  5. Optionally add the vendor and notes, then save.

Filter the list by category, trip, scope (one trip or boat-wide) and date. You can also add costs from the trip itself, see Trips.

  1. Click Add fixed cost (or Add first fixed cost).

  2. Enter the name and choose the Category.

  3. Choose the Boat, or leave it empty if the cost applies to the whole fleet.

  4. Enter the amount and its Period: Monthly, Yearly or Custom date range, with start and end dates.

  5. Keep it active and save.

Fixed costs are shared out over the trips of their period in the profitability figures.

Profitability (page title Estimated Trip Profitability) shows one line per departure: revenue, agency commission, taxes, crew salaries, fuel, other operating costs, allocated fixed costs, Net, Margin, Profit/cabin and Profit/pax.

Choose the Period (Year, Quarter, Month or a custom range) and optionally a Boat and an Itinerary. Export Excel and Export CSV download the table.

  1. Choose the Period and, if needed, a Boat and an Itinerary. The simulator starts from the actual figures of that period.

  2. Under What-if sliders, enter a change in percent (from -50 to +100) for Cabin price, Occupancy, Agency commission, Crew salary (Fix + Sail), Fuel cost, Other ops or Fixed costs.

  3. Compare the actual and simulated results line by line, and the simulated net.

  4. Under Business valuation & multi-year projection, set a Valuation multiple, a Projection horizon, an Annual revenue growth and an Annual cost inflation to see a valuation range and a multi-year projection.

Nothing is saved: Reset sliders puts everything back to zero, and so does reloading the page.
