Credit notes

A credit note records money you owe back to a customer, or a reduction you grant them, as a proper accounting document with its own number. Use it for a refund, a cancellation, a correction or a goodwill gesture, instead of changing an invoice that was already issued.

  1. Open Payments & Accounting › Credit Notes and click New credit note. A Credit Note # is generated for you.

  2. Credit Note Details: the Related Booking, the Customer and the type — Refund, Cancellation, Adjustment or Goodwill Gesture.

  3. Amount: the Credit Amount, the currency, the Issue Date and, if the credit can only be used for a while, an Expiry Date (leave it empty for no expiry).

  4. Details: the Reason, a Description, and Internal Notes that the customer never sees.

  5. Save. The credit note is a Draft: you can still edit or delete it.

  6. When it is final, click Issue on its line and confirm. It is now Issued.

Status What you can do
Draft Edit, delete, Issue or Void
Issued Void only
Applied Nothing: it has been used
Expired Past its expiry date
Void Nothing: it is cancelled but stays on record

The list shows each credit note with its Booking (click it to open the booking), Customer, type, Amount, Remaining amount, status, issue and expiry dates. Filter it by status or type. Open a credit note to see its full details, including any refund method and reference.
