The problem

Why operators switch to DiveHQ.

Most systems are built for hotels or generic tours. Liveaboards have cabins, shared beds, deposits, offline operations at sea, agency networks, and strict guest data needs.

Pain #1

Spreadsheet chaos

Cabins, passengers, supplements, agencies, payments, extras — scattered across Excel files, Drives and WhatsApp threads. Impossible to track in real time, painful to audit, error-prone every season.

→ One dashboard per trip, per cabin, per guest
Pain #2

Payment nightmares

Deposits, balances, multiple currencies, partial payments, reminders — all manually tracked. Too many places for mistakes, missed reminders, refund disputes and cash-flow surprises.

→ Automated schedules + reminders in 3 gateways
Pain #3

Guest info everywhere

Cert cards via WhatsApp, medical info in inbox attachments, dietary notes in spreadsheets. Risky for liability, impossible to find on the boat, and a nightmare for the dive guides at briefing.

→ Digital diver forms + centralized database
What operators tell us

One flat fee, on a product that already runs fleets.

Operators come to us with the same arithmetic: a percentage here, a payment cut there, a rebate out of the margin, a licence that climbs every renewal — software that costs the most in a good season. DiveHQ is €75 a month, whatever the boat carries, your payments settle on your own merchant accounts, and the liveaboard module is not a roadmap item: it runs real fleets in production today.

The money

Your gateway, your account

Stripe, Xendit or PayPal under your own merchant account. The guest pays you, not us, and settlement lands where it always did. No platform cut on the way through, no rebate mechanics you did not agree to.

The distribution

Agents who book themselves

Your agencies get their own portal with contracted rates, live availability and commission computed for them. They book the cabin, the confirmation writes itself, and the email ping-pong stops. Their guests never see your net prices.

The lock-in

Connected, and yours to leave

Live availability feeds already run to LiveaboardHub and ScubaDates, and a Google Merchant Center feed is generated for your departures. Need another partner connected? Standard partner feeds are part of the plan, and larger integrations are scoped together first. Your data stays exportable, because a platform confident in its product does not need to hold it hostage.

Fair warning, so nobody is disappointed later: switching a live season across is real work, and we do it with you rather than handing over a CSV template. Three months free is there for that reason — it is roughly what it takes to move a fleet properly and see a full booking cycle before you pay anything.
Platform modules

Everything in one place — from booking to onboard sales.

Each module is built around real liveaboard workflows. Not generic SaaS retrofitted for diving.

01 — Booking & trips

Cabin-based booking that reflects how you sell.

A flow built for cabins, shares and extras — not hotel rooms or generic tickets.

  • Booking flow: cabin → extras → guest details → payment
  • Visual cabin layout: guests pick from your deck plan (or you assign)
  • Flexible capacity: beds, shares, supplements, full charters
  • Dynamic pricing: per trip, cabin type, season + promo codes
  • Trip management: statuses, duplication, calendar view
DiveHQ availability board — cabins free, on hold and booked for each departure
02 — Payments

Automated deposits, balances & invoices — across currencies.

Stop chasing payments. Configure schedules once and let the system do the follow-up.

  • Stripe + Xendit + PayPal: global cards + APAC local rails
  • Payment schedules: deposit + balance, automated reminders
  • Partial payments: who paid what, per passenger
  • PDF invoices: templates + auto-send
  • Indonesian PB1 tax: strict integer math, never floats

03 — Onboard POS · Unique

The POS built for life at sea — offline-first.

Crew sell drinks, rentals and extras without admin login and without internet. Syncs when reconnected.

  • Crew access by token: fast onboarding, no admin credentials exposed
  • Offline mode: works at sea — syncs when connected
  • Per cabin/passenger: sales linked to the right guest automatically
  • Real-time stock: bar items, rentals, merchandise
  • Crew tips: automated totals + export
Why this matters The ocean has no wifi. A booking tool that stops working at sea stops being a tool.

04 — Guest management

Digital diver forms that guests complete before boarding.

Certifications, experience, medical, dietary notes and documents — collected automatically before the trip.

  • Customizable forms: per operator (questions, required fields)
  • Auto-sent link: triggered at J-3, re-sent every 3 days up to J-60
  • Uploads: cert cards, passport scans, insurance proof
  • e-Waivers: RSTC 2020 + PADI 10086 + PADI 10087 built-in
  • Guest database: history, preferences, tags, search
DiveHQ diver forms and guest profile
05 — Communication

Automation that feels personal — not spammy.

Set rules once: confirmations, reminders, diver forms, invoices, pre-trip info, post-trip follow-up.

  • WhatsApp Business: approved templates, multi-language, full logs
  • Email automation: Microsoft 365 / Outlook, templates, history
  • J-30 / J-14 / J-3 reminders: windowed, anti-cascade, 24h floor
  • Full audit trail: who got what, when, on which channel

06 — B2B portal

A real B2B agency portal — not "email us to book."

Give your partners real-time access, separate pricing, and a clean dashboard — while you keep control.

  • B2B rates: separate agency pricing & commission levels
  • Book on behalf: agency books, you keep ownership of guest data
  • Commission tracking: auto-computed, cabin-only, locked at confirmation
  • Locked price privacy: passengers never see the operator price
  • Agency dashboard: bookings, performance, real-time availability

Included free on every plan

A listing on the DiveHQ Marketplace — and a backlink to your site.

Every operator on DiveHQ gets a free page per boat on divehq.cloud/liveaboards, published under the destinations divers search for. Your upcoming departures and prices sync from your own dashboard, and the page links to your website — a dofollow backlink from a dive-industry domain, free, with no commission on anything it sends you.

FAQ

The questions operators ask us on demo calls.

How much does DiveHQ cost?

DiveHQ is €75/month net for the Liveaboard plan (up to 2 boats included), with the first 3 months free. Dive Resort & Dive Center is one product: €50/month for a dive center, €150/month for the resort package with rooms. All plans include zero commission on bookings, zero commission on payments, free Marketplace listing, unlimited users, and upgrades as they ship.

How do marine park fees like Komodo work?

As a line item computed from the itinerary, not a flat surcharge bolted on the end. The Komodo park fee is per diver per day, so a 7-night trip and a 3-night trip produce different amounts from the same rule — and the fee appears separately on the invoice and is excluded from agency commission, which is where most systems get it wrong. Fuel surcharges and other mandatory fees use the same mechanism.

How long does it take to move off my current platform?

A few weeks of overlap, not a weekend — and we would rather say so now than after you sign. Boats, cabins, itineraries and rates are set up with you, your existing bookings and passenger data are imported, and payments are connected to your own merchant accounts. The 3 months free exist for exactly this: enough time to run a full booking cycle before you pay anything.

Do you feed LiveaboardHub, ScubaDates and Google?

Yes. Token-protected availability feeds are fetched directly by LiveaboardHub and ScubaDates, including a separate discount feed for special prices, and a Google Merchant Center product feed is generated for your departures. Want another partner connected? Standard partner feeds are part of the plan; a larger integration is scoped together before we commit.

Does DiveHQ really work offline at sea?

Yes. The onboard POS is offline-first. Your crew can record bar sales, equipment rentals and extras at sea without any internet connection. Everything syncs automatically when the device reconnects. This is uncommon in the dive industry — most generic booking platforms simply stop working when you leave port.

Are there hidden fees or booking commissions?

No. The monthly price is the only price you pay. 0% commission on bookings. 0% commission on payments processed through Stripe, Xendit or PayPal. No setup fees. Every new module and feature we release is automatically included in your existing subscription.

Who built DiveHQ?

DiveHQ was created, tested and used by real dive centers, liveaboards and dive businesses that joined forces to build it, with 20 years of running dive operations behind it. Every feature exists because the operators behind it needed it on their own boats and in their own shops. We're not generic developers retrofitting a hotel system — we're operators solving operator problems.

Can travel agencies and group leaders use DiveHQ?

Yes. The Liveaboard Partner Program is free for agencies. Agencies get a branded portal with live availability across partner boats, auto-computed cabin-only commissions, multi-booking invoicing, and locked price privacy — passengers never see the operator's net price. Apply at /agency/register.

Can guests choose their own cabin?

Yes. DiveHQ supports visual cabin layouts so guests pick their cabin from your deck plan (or you can assign manually). Cabin sharing, capacity rules, supplements and minimum-booking thresholds are fully supported. Booking flow: cabin → extras → guest details → payment.

Which payment gateways does DiveHQ support?

Stripe for international cards (Visa, Mastercard, Amex, JCB, UnionPay), Xendit for Southeast Asia local rails (Indonesian bank transfer, e-wallets), and PayPal. Multi-currency including USD, EUR and IDR. Indonesian PB1 tax compliance is built-in with strict integer math (never floats).

How does DiveHQ handle deposits and balances?

You configure payment schedules once — deposit, then remaining balance — and DiveHQ automates the reminders via email and WhatsApp with payment links. Partial payments are tracked per passenger. PDF invoices are auto-generated and sent.

Is DiveHQ only for liveaboards?

No. DiveHQ has two products on the same platform: Liveaboard Management, and Dive Resort & Dive Center Management — one product sold as a package: rooms and accommodation included for a resort, left out for a dive center alone. Existing customers receive new modules at no extra cost.

How is my data isolated from other operators?

DiveHQ is multi-tenant by design. Every operator runs on its own isolated database with daily encrypted backups. Data is never mixed with another operator's. Each operator also gets a dedicated subdomain (e.g. your-operator.divehq.cloud). Every tenant is dumped nightly, the central database too.

Can I embed DiveHQ on my existing website?

Yes. DiveHQ offers an embeddable booking widget (iframe or JS) that drops into any website. Mobile-first and brandable. You can also use a custom subdomain (your-operator.divehq.cloud) or fully white-label with your own domain (book.yourliveaboard.com). See it live — the widget page embeds a real operator's production widget as the demo.

What if I want to leave? Do I own my data?

You own your data, full stop. We provide standard-format exports any time and help with migration if you decide to move on. There's no lock-in beyond the value the platform delivers.
